Overview

McGuireWoods LLP has an opening for a Litigation Practice Assistant/Legal Secretary to join the Product and Consumer Litigation practice in the Raleigh, NC office. The Assistant will support partners and associates with legal and administrative tasks to include document management, opening and closing of files, calendaring, time entry/billing, travel arrangements, meeting/conference scheduling and other special projects. The ideal candidate will have experience supporting attorneys in both litigation and corporate practice groups.

Responsibilities

  • Prepares, edits and formats legal documents and correspondence from draft or dictated text
  • Assemble exhibits and hearing binders; prepare document productions; schedule depositions
  • Manage documents: upload documents to e-rooms and the DMS; scan, save to DMS and distribute matter-related hard copy correspondence, court and agency filings; maintain pleading and document indices when appropriate

  • Organize and maintain case files, retrieve case files, and prepare files for closing in accordance with Records Department procedures
  • Coordinate day-to-day workflow of attorneys’ matters and serve as the primary point of contact for attorneys
  • Communicate with clients, vendors, courts, agencies and firm personnel in a professional manner via telephone, email and in person
  • Participate as part of a team of practice assistants providing coverage and/or backup coverage for multiple attorneys
  • Focus on deadlines and prioritize activities and demonstrate resourcefulness by effectively utilizing firm resources and personnel

  • Adapt quickly to changing environment/demands, think one step ahead and suggest next steps on assignments and ways to improve the delivery of client service without being prompted

 

Qualifications

  • Minimum three to five years supporting litigation attorneys in internal and external leadership roles at a large law firm
  • Experience working with both litigation and corporate practice groups preferred
  • Must be proficient with MS Office 2013
  • Preferred experience in e-filing, time entry and billing software (Elite), and expense reimbursement software (ChromeRiver)
  • Must be highly organized and a self-starter
