Overview

The Tysons office of McGuireWoods LLP has a need for an experienced Office Manager to join its administrative operations team.

 

The Office Manager ensures that the Practice Assistants (PA's) provide the highest level of administrative support and client service to the firm’s attorneys and clients. The manager is responsible for performance management and ensures assigned staff maintains appropriate skills levels to perform their job responsibilities.

 

The Office Manager also serves as the immediate back-up for the Regional Administrative Director in handling the day-to-day operations of the office. This position plays a critical role in the office as it requires excellent communication skills and the ability to interface with all levels of the firm with a hands-on approach to accomplish objectives.

Responsibilities

  • Customarily and regularly directs the work of Practice Assistants and the Receptionist. Supervision includes, but is not limited to, interviewing, selecting, training, preparing and conducting performance appraisals with input from Regional Administrative Director, coaching and counseling, and planning/apportioning work among PA teams
  • Facilitates training and development of skills in accordance with Individual Development Plans and goals set forth for each PA and direct report
  • Establishes and manages resources to ensure proper administrative coverage
  • Maintains secretarial back-up plan for support of attorney assignments. Monitors annual leave usage and approves requests
  • Recognizes and rewards employee achievements and excellence; counsels employees with performance issues; works with Regional Administrative Director and HR to determine if disciplinary action is necessary and implements plan as needed
  • Assesses and manages ratio requirements, assignment changes and assignment efficiencies; prepares monthly reports as required

 

 

 

Qualifications

  • Requires high school diploma or GED and a minimum of five years’ experience and/or training; or equivalent combination of education and experience
  • Experience in professional services or law firm preferred
  • Proficient in the use of Microsoft Office 2013
  • Skill in counseling and mentoring subordinates; ability to deliver disciplinary actions as appropriate
  • Ability to manage conflicting job requirements, timed constraints and deadlines
  • Effective verbal and written communication skills; effective interpersonal skills, including client service orientation
  • Sound judgment to pro-actively escalate matters of importance to senior management for guidance
