    McGuireWoods Consulting is looking for an Administrative Assistant to support our lobbyists in Springfield, IL.  The individual will provide administrative support including, time entry, expenses, lobbyist registrations and ethics compliance,  scheduling, travel and  and general office duties. Additionally, the individually will support the lobbyists by covering legislative hearings and committee meetings, tracking bills and amendments, and event planning.

    Responsibilities

    • Performs time entry for assigned McGuireWoods Consulting staff.
    • Processes incoming and outgoing correspondence as appropriate; including mailings, invitations and bills.
    • File lobbyists registrations in a timely manner and ensure compliance with all required ethics filings.
    • Processes all expense related items (invoices, reimbursements, check requests) and complete lobbyist filings per state or federal laws as applicable.
    • Assist with office functions and events.
    • Updates contact and client list as assigned by McGuireWoods Consulting staff.
    • Attend and monitor various legislative and other committee meetings in order to track the progress of specific legislation or policy initiatives and report back to lobbyists.
    • Prepare client-specific weekly legislative reports during legislative sessions or as needed.

    Qualifications

    • Requires high school diploma or equivalent and a minimum of two years of experience in an administrative capacity; or equivalent combination of education and experience.
    • Knowledge of the Capitol, key players and legislative process is a huge plus.
    • Excellent professionalism and communication.
    • Planning and organizational skills.
    • Typing 60 WPM; transcription, word processing.
    • Knowledge of multiple software packages, including Excel and PowerPoint.
    • Excellent proofreading skills.
