    McGuireWoods has an opportunity for a self-starting, enthusiastic individual to join its Business Development team as a Special Projects Administrator in Richmond, VA or Charlotte, NC. The Special Projects Administrator serves as a centralized “hub” for the department to assist on communications connecting the team, reporting, tracking, and firm-related educational and social events. A business development mindset, keen eye for detail and proven ability to establish, implement and execute processes is crucial. The role will report to the Director of Business Development but will be closely aligned with the Sr. Manager of Events.

    • Communication and Reporting

    Will ensure that relevant marketing and business development team members are aware of events that impact the practices and industry teams they support. This includes, but is not limited to:

      • Refining the event intake and team notification process
      • Developing a regular event report for internal distribution
      • Developing a resource guide that outlines event hosting capabilities across various firm offices
    • Information Management

    Assist the events and business development (BD) teams with coordinating, tracking, and reporting on event attendees through InterAction, the firm’s client relationship management (CRM) system, as well as the team’s internal event database. Serve as a go-to resource for other firm departments (D&I, Professional Development, Pro Bono) on resource allocation and event management.

    • Event Support

    Coordinate with BD and events team on practice- and industry- specific webinars and in-person CLE programs.  This may include: 

      • Working with relevant BD team members on the development of post-event reports for firm management
      • Assist with budget tracking, event deposits, and processing invoices
      • Working with accounting to maintain billing and accounts payable for events including sponsorships and registration collections
      • Updating CRM with attendance as well as reporting
      • Recording ROI on events
      • Assist with coordination of event materials and nametags
    • Sponsorship Coordination

    Work with events and BD team members and office managing partners (OMPs) on sponsorship-related timetables, advertisements, community/civic investments and charitable contributions related to clients. This person will record, track and allocate firm tickets purchased for client relations and business development purposes.  Submissions of sponsorship requests and updating database of submissions.   


    • Requires Bachelor’s degree and a minimum of one year of experience in marketing, business and practice development, or a related field; exposure to a law firm environment is a plus.
    • A minimum of three years of professional work experience.
    • Excellent time management, job management and multitasking skills.
    • Proven ability to build relationships with a wide range of people.
    • Ability to understand the “big picture,” determine role within it, and offer suggestions/ recommendations on how to achieve goals.
    • Knowledge and understanding of the principles of business entertaining and event planning.
    • Strong knowledge of relevant technology/software.
