Overview

McGuireWoods LLP is looking for a Practice Administrative Assistant in our San Francisco office. This assistant will provide administrative support to Practice Assistants and Attorneys.  The ideal candidate will be able to adapt quickly, have strong administrative and organizational skills, and be comfortable working with technology.

Responsibilities

  • Maintain electronic and hard copy closing binders and amendment binders
  • Preparing material for overnight/mail service deliveries
  • Arrange team conference calls as directed, make travel arrangements as needed.
  • Search, save and review Worksite electronic files for specific requests; circulate to appropriate parties per instructions
  • Process payment of matter related invoices and Attorney expense reports via ChromeRiver
  • Calendar management for Attorneys
  • Perform other administrative tasks and special projects as requested (IE: entry of Attorney time, maintain/organize paper files, etc.)

Qualifications

  • Strong aptitude for technology and learning new systems
  • Excellent communication  and proofreading skills
  • Strong planning and organizational skills
  • Proficient in the use of Microsoft Office 2013 and/or current version and in the creation, assembly and/or manipulation of PDF files using Adobe Acrobat
