Overview

McGuireWoods has an opening for an Administrative Coordinator in our Richmond, VA office. The Administrative Coordinator is responsible for providing administrative and logistical support to the Diversity and Inclusion and Learning and Development teams and will focus on administrative details of signature professional development programs including leadership development initiatives, mentoring program, the Diversity and Inclusion Retreat, and other special projects including administrative details for client and third-party surveys, firm presentations, and data management. The coordinator will assist in a wide range of the Firm’s learning & development and diversity & inclusion efforts and will interface with internal and external stakeholders. The ideal candidate is a self-starter and a data-driven and collaborative individual.

Responsibilities

  • Provide support for both the learning & Development and Diversity & Inclusion teams by managing appointments, meetings, combined schedules, and generating correspondence, preparing reports, and drafting presentations.
  • Conduct all data collection and completion of client and industry diversity surveys; work with the firm’s internal departments to ensure accurate reporting and maintain an archive of responses.
  • Coordinate conference room reservations, and schedule meetings for various committee meetings within the D&I and L&D departments.
  • Provide calendar management and administrative support to the D&I and L&D teams, to include scheduling and coordinating internal and external training sessions, workshops, and e-learning programs.
  • Manage logistics for training events, including booking rooms, preparing materials, and arranging technology needs.
  • Process invoices for payment related to costs associated with diversity sponsorships, learning and development, and vendors.
  • Assist with lawyer and business professional affinity networks to provide support and coordination of meetings and firmwide events.
  • Work closely with HRIS team to prepare statistical and qualitative information/reports for dept. chairs and firm leadership.
  • Conduct research as needed on current diversity and inclusion trends and benchmarks used in the legal industry or that may be applicable to a law firm environment.
  • Assist with special projects that support the teams’ communication for events.
  • Assist with content on the portal site and collaborate with the Marketing Department to ensure content on the external website is current.
  • Assist with communications for department related events.

Qualifications

  • Bachelor’s Degree required.
  • Minimum of three (3) years of experience in a high-performing organization or professional services organization is preferred
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to work independently and with a high degree of attention to detail.
  • Strong communication, organizational and interpersonal skills.
  • Ability to maintain confidentiality and professionalism regarding all personnel information.
  • Ability to handle multiple tasks and meet deadlines.
