Overview

McGuireWoods LLP has an opening for a Practice Administrative Assistant to join the team in our Los Angeles (Century City), CA office. This position supports Practice Assistants with a variety of administrative tasks. The ideal candidate takes initiative and demonstrates strong organizational skills. Administrative experience, specifically in a legal environment, is preferred.

Responsibilities

  • Make copies of documents for service; prepare envelopes and/or labels for said service.
  • Prepare material for overnight/mail service, deliveries, and courthouse filings where appropriate.
  • Arrange for payment of case related invoices and attorney expense reports via Chrome River.
  • Make travel arrangements as required.
  • Enter attorneys’ time into time management system as requested.
  • Perform other administrative tasks and special projects as requested.
  • Prepare FedEx transmittals.
  • Arrange messenger services for same day deliveries.
  • Calendar internal and/or external meetings for attorneys.
  • Search and review Worksite electron files for specific requests; circulate to appropriate parties per instructions.

Qualifications

  • High school diploma or GED required, or an equivalent combination of education and experience.
  • 1-2 years of adminiatrative experience preferred. Litigation support experience preferred.
  • Demonstrated ability to quickly learn and adapt to new technologies.
  • Excellent communication skills, with the ability to manage relationships effectively and work as part of a team.
  • Highly organized, with strong proofreading skills and the ability to work well under pressure.
