Overview

McGuireWoods LLP has an opening for a Legal Practice Assistant to join the team in the Richmond, VA office.  The Assistant will support attorneys with legal and administrative tasks, which include document management, calendaring, expense reports, travel arrangements, meeting/conference scheduling, opening and closing of files, and other special projects. The ideal candidate will have a strong administrative background and should possess technical proficiency, have a keen attention to detail, be highly organized, be able to manage a high volume of filings, and have strong interpersonal skills.

Responsibilities

  • Manage heavy calendaring, complex travel arrangements, and detailed expense reporting for a six-person team.
  • Facilitate complex billing processes (specifically for clients like Stihl); ensure time entry is accurate and practice codes are applied correctly.
  • Handle document revisions, coordinate court filings (paper and electronic), and manage the lifecycle of files from intake and conflict checks to closing.
  • Serve as a professional, personable point of contact for the group; respond to inquiries and manage document productions and hearing binders with precision.
  • Anticipate the needs of the attorneys; stay ahead of deadlines and "check in" regularly to ensure the desk is running smoothly.

Qualifications

  • 2–3 years of administrative experience, ideally within a law firm or professional services environment. You should have a proven track record of managing competing priorities and keeping a high-volume desk organized.
  • High proficiency in Excel, Outlook, and Microsoft Word. You should be comfortable learning new billing and document management software quickly.
  • Strong interpersonal skills; you should be comfortable and confident communicating with partners and clients alike.
  • A keen attention to detail and strong organizational skills.
  • Ability to work well under pressure while maintaining a professional and positive demeanor.
