Overview

McGuireWoods LLP has an opening for a Practice Assistant in our Washington DC office. This role will be supporting attorneys in various practice groups with administrative tasks including binder creation, conflict checks, time entry, as well as other various tasks. The ideal candidate will have a strong background in legal administrative support, with exceptional attention to detail and organizational skills. This individual should be prepared to thrive in a fast-paced environment, support a high-performing team, and approach the role with a positive attitude and a willingness to learn.

Responsibilities

  • Serve as the attorneys' main point of contact and manage their calendars, email, calls, and mail.
  • Open new matters, run conflict checks and prepare engagement letters for attorney review.
  • Prepare, edit and proofread legal documents, correspondence and client materials.
  • Create closing, exhibit and hearing binders, signature pages and document productions.
  • Manage documents in e-rooms and the document management system.
  • Enter attorney time, verify client and matter numbers, and prepare draft and final bills.
  • Submit expenses, invoices and check requests.
  • Make travel arrangements and coordinate filings, deliveries, meetings and events.
  • Communicate professionally with clients, courts and firm staff, and anticipate attorney needs.

Qualifications

  • Four or more years of related experience
  • Proficient in Microsoft Office, Outlook, and the billing and timekeeping systems (preferably InTapp & Chrome River)
  • Strong planning, organizational, and proofreading skills with the ability to manage multiple tasks under pressure
  • Excellent written and oral communication skills; professional demeanor and telephone manner
  • Able to work independently or collaboratively, delegate effectively, and adapt to changing priorities
  • Possess critical thinking skills, good judgment, and a proactive attitude
  • Interest in using innovative AI technology, including Harvey and Copilot, to support efficient, high-impact work.
